Who is responsible for your data
The operator named at the bottom of this page, with its registration number, address and contact email, is the controller of your personal data under the General Data Protection Regulation (GDPR, Regulation (EU) 2016/679) and the Romanian data protection law. The operator keeps those details up to date, so what you see there is current.
Send any privacy question or request to the contact email shown below. A data protection officer, if the operator has appointed one, is reached at the same address.
What data we collect
We process the following data:
- Account data you give us: your email address, your username and your password, which is never stored in readable form but only as a salted Argon2id hash. You may also upload an avatar image.
- Account records we create: when you registered and accepted the Terms, when you last signed in and your account role.
- Game data of your family: your family name and crest, compound, buildings, resources, army, Capos, convoys, items, achievements, tutorial progress, rankings, mail and battle reports, syndicate membership, and the text of the messages and announcements you write to other players.
- Activity data: the time you actively play (today, this week and in total) and when you were last seen in the game. Only you can see your active play time.
- Technical data: your sign-in session (a random identifier in a cookie, linked on our server to your account), your IP address and request details (such as time, requested page and browser identification) in server logs, and counters that limit abuse, such as sign-in attempts and requests per second. When you ask for a password reset, an email change or a password change, we also store a hash of the one-time link (never the link itself), its expiry and, for password reset links, the IP address of the request.
- Support data: the tickets and replies you send us, with or without an account, the email address and name you give with them, and the reference of each ticket. We also send you emails about them.
- Moderation data: warnings, mutes and suspensions applied to your account, with the reason, the dates and the role of the team member who applied them, and a permanent audit log of every action the team takes, including these ones.
Your email address, username and password are required to create an account; without them we cannot offer one. Everything else is created by playing or is optional, such as the avatar and your support messages. All data comes from you or from your use of the service; we do not buy or receive data about you from other sources.
We do not ask for your real name, postal address, phone number, date of birth or payment details, and we do not collect your precise location. Please do not put such data, or any sensitive information, in names, chats or avatars.
Why we use it, and on what basis
- To create and run your account and let you play (performance of the contract with you, Article 6(1)(b) GDPR).
- To show your name, avatar and progress to other players as the game needs, in the map, rankings, syndicates and chats (the same basis).
- To keep the service secure and fair: stop abuse, cheating and attacks, limit request rates, investigate incidents and enforce the Terms and the Rules (our legitimate interest, Article 6(1)(f): keeping the game safe, fair and working for every player). You can object to this; see Your rights.
- To keep cookies and browser storage that are strictly necessary, such as your sign-in session and game settings. These do not need consent; see Cookies below and Cookie settings in the footer.
- To answer your messages and requests and to send you the emails you ask for or that protect your account: reset, confirmation and notice emails, ticket replies, moderation notices and inactivity warnings (contract, Article 6(1)(b), or our legitimate interest, Article 6(1)(f)).
- To meet legal duties, such as answering a valid request from an authority or keeping records the law requires (legal obligation, Article 6(1)(c)).
We do not use your data for advertising, we do not sell it and we do not build marketing profiles. If we ever want to use it for something that needs your consent (Article 6(1)(a)), we will ask first, and you can say no without losing access to the game.
Automated decisions
No decision that produces legal effects on you, or affects you in a similarly significant way, is taken only by automated means (Article 22 GDPR). Warnings, mutes, suspensions and bans are decided and applied by members of the team, never by a program, and you can appeal them.
Some things are automatic but are not decisions about you as a person: battles, production and rankings follow the public game rules, and the limits on sign-in attempts and requests per second temporarily refuse requests that come too fast. We do not profile you for marketing.
Transfers outside the EEA
We do not send your data to third parties outside the European Economic Area for analytics, advertising or fonts. Where a hosting or email provider processes data outside the EEA, we rely on a recognised safeguard, such as an adequacy decision or the European Commission’s standard contractual clauses (Chapter V GDPR). You can ask us which safeguard applies.
How long we keep it
- Account and game data: as long as your account exists. When you delete your account, the account, your family and the game data tied to it are removed from our live database straight away. A family that has not entered the game for 365 days is deleted automatically after warning emails; the account itself stays, and your gold, your unlocked slots and the compound customisation you bought are kept for the next family you found.
- Messages: a syndicate chat keeps only its latest 500 messages and an in-game mailbox holds at most 50 mails per player, and the surplus is removed automatically. Messages you posted in a syndicate chat can remain for the other members after you delete your account, without a link to it, and battle reports already delivered to other players can keep your family name.
- Sign-in sessions: until you sign out, and at most 30 days.
- Abuse-protection counters: from seconds to a few hours. One-time email links: password reset links are valid for 60 minutes, email change links for 30 and 60 minutes and password change links for 30 minutes, and they are removed once used, replaced, cancelled or expired.
- Server logs: kept in rotating files, where the oldest entries are overwritten automatically as new ones arrive.
- Backups: if we keep backups, data you deleted can remain in them until they are overwritten by the normal rotation.
- Messages to us: tickets are not deleted automatically when they are closed. We keep them as long as needed to answer and to show that we handled your request, and we delete one on request unless we still need it for a dispute or a legal duty. When you delete your account, your tickets stay, no longer linked to your account but still with the email address, name and messages you wrote in them.
- Moderation records and the team audit log: kept after a sanction ends, for as long as needed to recognise repeated breaches, review appeals and protect our rights. When you delete your account, the sanction list of your account is removed with it, but the audit log entries about you (your username, the action, the reason and the date) are kept.
- Records we must keep by law: as long as the law requires.
Your rights
Under the GDPR you have the right to:
- access your data and get a copy of it;
- correct data that is wrong (you can change your email, password and avatar yourself in Settings);
- erase your data (you can delete your account in Settings at any time);
- restrict the use of your data in the cases the law lists;
- receive the data you gave us in a structured, commonly used, machine-readable format, and have it sent to another controller where this is technically possible (portability);
- object to processing based on our legitimate interests, for reasons related to your situation;
- withdraw a consent you gave, at any time, as easily as you gave it (today this only concerns optional browser storage, through Cookie settings in the footer);
- lodge a complaint with a supervisory authority.
Settings covers changing your email, password and avatar and deleting your account. There is no self-service download of your data in Settings. For access, a copy, portability, restriction or objection, write to the contact email from the email address of your account, so we can confirm it is you. We answer within one month. If a request is complex or we receive many, the law lets us extend this by up to two more months, and we will tell you why within the first month. It is free of charge unless a request is clearly unfounded or excessive, and we may ask for more information to confirm your identity.
You may complain to us first, but you do not have to. In Romania the supervisory authority is the National Supervisory Authority for Personal Data Processing (ANSPDCP): B-dul G-ral. Gheorghe Magheru 28-30, Sector 1, postal code 010336, Bucharest; www.dataprotection.ro; [email protected]. You can also complain to the authority of the EU country where you live or work, or where you think the breach happened (Article 77(1) GDPR).
How we protect it
We use measures that fit the risk: encrypted connections (HTTPS), passwords stored only as salted Argon2id hashes, HttpOnly session cookies, protection against cross-site requests, rate limiting and sign-in throttling, restricted administrator access, team permissions that give each role only the data it needs, an audit log of team actions and regular software updates.
No online service is completely secure. If a breach is likely to put you at risk, we will notify the authority within 72 hours where the law requires it, and we will tell you without undue delay when the risk to you is high (Articles 33 and 34 GDPR).
Age limit
You must be at least 16 to play Omertane, which is the age of digital consent in Romania (Article 8 GDPR), so we never need a parent’s permission to process your data. You confirm your age with a checkbox when you register. We do not ask for your date of birth or an identity document, because that would mean collecting more data than the game needs. We do not knowingly collect data from anyone under 16. If you believe a child has created an account, write to us and we will delete it.
Changes to this policy
We may update this policy when our practices or the law change. The date at the top shows the last update, and we will announce important changes in the Dev logs. If a change affects how we use data you already gave us, we will tell you before it applies, and if we ever add processing that needs your consent, we will ask before it starts.
